Business Case

To define and create a service management framework for Business Systems at UoA College, particularly in the areas of timetabling, process automation, eLearning (LMS) & Student Management Systems.

Roles & Responsibilities

  • Liaise at a strategic level with the University of Adelaide on planning intakes for students into pathway programs.
  • Document AS-IS and TO-BE processes for timetabling 8 intakes in an academic year of over 700 students; prepare and execute the road map for every intake.
  • Prepare an incident and service management framework for applications used at UoA College, particularly timetabling application (CELCAT), LMS (Moodle) & Student Management Systems.
  • Adopt a process of continuous improvement, challenge the status quo and look at areas to gain efficiency in implementation, economies of scale and time sensitivity
  • Define a risk management framework and implement it; establish quality criteria for deliverables
  • Improve systems with a focus on automation primarily in timetabling, reduction of paper forms & management of LMS
  • Create a change management framework for greater end user adoption
  • Create tangible reports out of raw data for management reporting, enabling efficient and cost effective decision making

Key Achievements

  • Automation of timetabling application to process intakes with efficiency and optimize delivery, thereby saving 72 hours & 0.8 FTE resource allocation
  • Automation of LMS student enrollments by creating a middleware application to produce input data for meeting increasing demand of critical timelines.
  • Re-branding LMS (ongoing) to meet The University of Adelaide guidelines particularly themes, managing breadcrumbs, creation of content & liaise with LMS developers to enhance capabilities.
  • Automation of result uploads in Student Management System to process transcripts within deadlines
  •  98% error resolution rate in service incidents through efficient coordination & a resolve to get things done.

  • Liaise with the schools and State Education Department IT/project sponsors from inception to sign off.
  • Document AS-IS and TO-BE processes for roll marking attendance for students in an academic year.
  • Setup environment for deploying applications on school admin server. Configure, test and troubleshoot applications

  • Improved roll marking process by moving from manual paper based time-tabling to cloud based roll marking with MGM's flagship cloud based roll marking product
