Public Relations Assistant

Primary executive level administrative and communications support to Assistant Vice-President; Director; Executive Advisor; seven Managers; & two unionized staff members to sustain the activities of public, government, community & media relations teams.

  • Managing & reporting on five department operating budgets totalling more than $2 M: preparing quarterly budget projections; reconciling monthly account expenditures; processing accounts payable/receivable; invoicing; completing expense claims & purchase requisitions according to established public sector protocols
  • Planning and coordinating a variety of events and activities such as meetings, workshops, and travel: logistics for large and small events and travel: coordinating calendars; making flight, car & room bookings; arrangements for room & audio visual set-up; catering; preparing guest lists and handling rsvp’s; minute-taking; facilitating & chairing meetings
  • Overseeing departmental HR functions: coordinating job postings; scheduling job interviews; arranging interview facilities; preparing interview materials; on-boarding new hires to all systems; developing entry plans; booking entry meetings with appropriate stakeholders; conducting general office orientations for new staff; preparing and applying payroll submissions; tracking vacation schedules
  • Monitoring daily media mentions and archiving clippings for the media relations team: collaborating with media relations team to collate and assemble media highlights for Board of Governors presentations five times annually; uploading each news release to media relations website; updating online Experts Guide
  • Primary responsibility for managing the University’s online events calendar
  • Acting independently to field frontline inquiries in person, by telephone, and via email
  • Conducting regular internet research for inquiries, report preparation, and projects

Primary accountability for strategic advertising and promotional development for award-winning not-for-profit artisan collective.

  • Compiling and submitting award nomination packages to Tourism Hamilton and the Hamilton Chamber of Commerce to raise public profile and gain credibility; spearheading annual nomination and voting campaigns for the Hamilton Spectator Reader's Choice Awards in support of the collective
  • Secondary accountability for training/ongoing coaching on shop operations for new artisan members
  • General shop work: providing customer service in person, via email and through social media inquiries; processing cash, credit and debit sales through a computerized point of sale system; maintaining optimum levels for my own jewelry inventory to maximize sales; liaising with prospective new members in person and through email inquiries; jurying work of prospective new members for possible acceptance into the collective
