Personal Assistant & Office Manager

Responsible for assisting two CEO's, managing an administration team of 7 and a database of approximately 700 business clients, including the following tasks(but not limited to);

Personal Assistant - Answering and screening calls, calendar management, award submissions, booking flights, organising personal affairs, drafting proposals, setting meeting agendas and updating minutes

Administration/Office Manager - Staff hiring, training and management including wage and development reviews. Event coordination and internal team building events, liaising with local charities to maintain partnerships, reviewing office expenses, creating evacuation procedures, facilities management, Human Resources (contracts, policies, inductions), Social Media updating and cover for Marketing staff

Accounting Administration - Data entry, scheduling various compliance and business assignments, preparing tax documents for signing, contacting clients regarding their tax affairs and handling queries, petty cash reconciliation, processing ATO and ASIC correspondence, client maintenance, invoicing, debtor management, payment plan, updating procedures and processes, facilitate ethical handover, reporting on profit and loss and sales projection

Project Management - Involvement of the merger of two businesses to create Carbon Business Group, running the on-boarding of new staff and clients from acquisition including merging databases, creating timeline of events, drafting employment contacts and updating processes, project management of renovations including full office fitout, moving internal accounts from MYOB to Xero

Competent in all internal programs including Microsoft package(Excel, Word, PowerPoint and Outlook), How Now, MYOB AE, Paperbuster, Mailbook, Xero

Assistant Hotel Manager

The Saracens Head Hotel

Responsible for general running of hotel with 32 rooms, two function rooms, restaurant(150 pax capacity) and busy bar(130 pax capacity). I was also in charge of all functions including weddings, birthdays, corporate functions etc. I organised the sales and marketing of this venue and two sister venues. My duties included the following(but not limited to);

Hotel - Running of hotel reception including inquiries, bookings, procedures, corporate packages, accounts payable and receivable, comparison of local hotel tariffs and reports for directors

Restaurant & Bar - Serving in the restaurant and function rooms, rosters, managing wage and food costs, training staff, ensuring staff are informed of specials and menus, taking and processing orders, preparation of alcoholic and non-alcoholic beverages including coffee and cocktails, creating a link between kitchen and service areas, end of day and week till, safe and eftpos reconciliation, dealing with customer complaints, creating ambiance and fire and safety checks

Functions - Dealing with all functions from beginning to end, arranging menus, creating a function pack, providing a two week in advance function information sheet to staff and arranging Christmas functions, three nights a week for the entire December with 120 covers per evening and live music

Marketing - Updating websites using HTML codes, controlling social media sites, monthly newsletters to client database, counting comment cards and preparing a report for directors, entering client information into marketing database, updating staff notice boards, internal advertising, liaising with local venues and corporate client to arrange deals and packages

Bar Manager Responsible for running and improvement of mine site bar complying with site specific regulations and alcohol limits. My duties included the following(but not limited to);

Daily till and eftpos reconciliations, banking, weekly stocktake and reporting on P&L, maintaining par levels, EOM reconciliation, ordering, receiving and rotating stock, invoice and data entry, accounts payable and receivable, updating procedures, half yearly price reviews and increasing, monitoring product price increases and proposing increases to mine site managers, function organisation, training new staff, dealing with customer complaints, providing Responsible Service of Alcohol, abiding by the house rules and client specific rules and organising and running weekly promotions
