Provide direct support to eight Brokers and Executives within commercial real estate firm; handle phone coverage, screening calls, filtering and taking detailed messages as needed. Maintain Brokers calendars; schedule appointments and meetings, coordinate travel arrangements, process detailed expense reports using Concur. Maintain the Executive Vice President's calendar; coordinates international and domestic travel, processes expense reports using Concur. Maintain correspondence and assist on special projects. Provide back-up personal support to EVP of firm; running errands, managing personal contacts, meeting reservations. Purchase office supplies and manage inventory control. Track and process invoices including assigning cost codes. Type and format documents-memos, letters, charts, leases, RFP's and monitor multiparty conference calls and meetings. Create marketing presentations and complete market research as needed, utilizing MapPoint and Photoshop to assist with marketing materials. Perform additional administrative and organization support including copying, binding, scanning, faxing, filing and mailings.
