Logistics Officer- (Responsible and accountable for these programmes: Productive Asset Creation-PAC Emergency Vulnerable Group Feeding(VGF)-United Nations World Food Programme Seasonal Targeted Assistance(STA)-United Nations World Food Programme Food for Assets(FFA)-United Nations World Food Programme and USAID Food Security, Livelihoods and Water Sanitation-(AusAID) Basic Education-Norad Duties: Maintaining accurate commodity accounting records of all food commodity movement including receipts from donors, returns to warehouse, dispatches, distributions and losses. Monitoring stocks carefully and constantly advising on the status for placement and reordering. Producing monthly EDP management fees invoice, and secondary transporters invoices i.e. compiling transporters invoices, ensuring distances, tonnage received at distribution points, and transport rates applied for payment are correct. Maintaining organized and chronological filing system ensuring that hard copies of required reports are available and easy to access anytime. Review reports for their correctness before submitting to the Logistics Officer and donors. Keep track of daily dispatches and receipts by entering of data into Commodity Tracking System(CTS) data sheet for quality production of reports which include accurate and reliable Food Distribution report(FDR), invoice, and commodity status report. Compiling and analyzing all the receipts and dispatch summary reports before preparation of distribution updates.(Capturing of waybills, Goods Received Notes GRNs). Responsible for reporting to the donor for commodity accountability and ensure that all commodities are dispatched within each reporting period, while keeping track of stock movement to ensure that released quantities are received at food distribution points. Facilitate the transport co-ordination functions for logistics. Assist in loading secondary transporter trucks and offloading primary trucks. Pipeline analysis and forecast on warehouse balances and receipts. Preparing and submitting daily, weekly and monthly stocks balances to Logistics national Office as required. Conducting random spot checks and monthly physical stock counts and audits of warehouse records to ensure that there are no discrepancies between the physical count results, inventory ledgers and any other records. Investigating any discrepancies in stock levels and report to the Senior Logistics Officer. Maintain a clear paper trail for all the commodity transactions from WFP to the warehouse
