Executive Assistant to Executive Vice President and Chief Operating and Financial Officer
Manager the day to activities of the EVP and Chief Operating and Financial Officer (COO & CFO) which includes heavy calendar management and arranging of international conference calls on a daily basis. Liaise with high level executives and donors which requires understanding of nuances and handling of sensitive financial company information. Organize complex international travel which includes organizing side meetings and ground transportation. Assist with preparation for Board meetings and Finance Committee meetings.
Executive Assistant to Executive Vice President of Human Resources
Manage the Executive Vice President's (EVP) day to day activities which include calendar management, arranging conference calls, monitoring email inbox, processing expense reports, compiling agendas and preparing PowerPoint presentations as necessary for meetings. Staff Talent Manager and Senior Manager Meetings; take minutes and disseminate with follow up on actionable items. Responsible for 401k plan data entry, assist with interview process for incoming candidates and on-boarding of new employees. Provide travel oversight for the Company, which includes reconciling all travel purchased. Handle employee matters of extreme confidentiality and maintain current, retrievable and accurate files.
Executive Assistant to Chief of External Relations
Managed the Chief's hectic and demanding day-to-day activities which included complex calendar management, arranging international conference calls and meetings, compiling and disseminating meeting background information, and ensuring effective time management for the EVP. Monitored email inbox and coordinated responses as appropriate. Planned and managed all travel, including coordination of logistics, travel visas, vaccinations, compiled agendas and materials. Tracked and follow up with staff and consultants on status of outstanding actions, requests and projects; proofread and/or edit documents; prepared tables and PowerPoint presentations; compiled and prepare expense reports/invoices for payment.
