The Administrative Assistant will provide administrative and staff support to the general organizational operations. Working under the direct supervision of the Company Owner  this position provides all necessary organizational support and is responsible for a variety of other tasks.


I am seeking an entry-level position within some aspect of the medical field where skills of communication, organization and technology will enable me to contribute to my employers' goals.

Administrative Secretary / Payroll

  • Assist with the completion of filings for the organization.
  • Coordination of publication orders, including the processing of checks for payment, and preparing an acknowledgement for orders fulfilled.
  • Processing check and credit card requests and file receipts accordingly.
  • Processing incoming bills and outgoing checks.
  • Provide assistance as needed with research for products and services and product development.
  • Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff.
  • Assist with review of administrative procedures and development of systems to assure compliance by all staff.
  • Maintain inventory for office supplies and computer software.
  • Assist with research and cost comparisons for vendors to maintain cost effectiveness and quality, including technology and computer support.
  • Maintain master calendar of in-house meetings.
  • General office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc. 
  • Maintain and update database as needed.
  • Receive and distribute all incoming mailing and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution.
  • Provide administrative support to staff for copying, faxing and large-scale mailings.
  • Maintenance of library and classification and filing of new items.
  • Responding to staff requests for administrative support as needed.



  • Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
  • Must have some experience and skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, and Excel.


Payroll and Timekeeping Clerk
                                                                                                                                                                                          JOB DESCRIPTION:   Process and issue employee paychecks and statements of earnings and deductions. Compute wages and deductions, and enter data into computers. Compile employee time, production, and payroll data from time sheets and other records. Review time sheets, work charts, wage computation, and other information in order to detect and reconcile payroll discrepancies. Verify attendance, hours worked, and pay adjustments, and post information onto designated records. Record employee information, such as exemptions, transfers, and resignations, in order to maintain and update payroll records. Issue and record adjustments to pay related to previous errors or retroactive increases. Keep informed about changes in tax and deduction laws that apply to the payroll process. Provide information to employees and managers on payroll matters, tax issues, benefit plans, and collective agreement provisions. Complete time sheets showing employees' arrival and departure times. Post relevant work hours to client files in order to bill clients properly. Distribute and collect timecards each pay period. Complete, verify, and process forms and documentation for administration of benefits such as pension plans, and unemployment and medical insurance. Prepare and balance period-end reports, and reconcile issued payrolls to bank statements. Compile statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate department.
