SUMMARY:

The Staff Assistant/Legislative Correspondent greets visitors, answers the telephone and answers constituent requests for general information, tours, and other inquiries.This position also monitors delivery and pickup of materials, maintains the front office, and assists with various administrative and legislative duties.

ESSENTIAL JOB FUNCTIONS:

oAnswers and screens telephone calls for the Congressman and other staff members and takes messages when appropriate;

oGreets and screens visitors;

oProvides staff-led tours of the Capitol for constituents and other guests;

oAssists persons who have appointments with the Congressman or the staff and works closely with the Congressman’s Scheduler to ensure that the Member’s appointments are on time and that the Scheduler is aware of the visitor's arrival;

oAssists the office systems manager with processing of constituent mail;

oAnswers constituent mail and e-mail in both form and individual responses in co-ordination with the legislative staff and the office systems manager;

oTracks legislation through the committee, House floor, Senate and conference committee processes in assigned issue areas, and briefs the Congressman;

oTogether with the legislative staff acts as a liaison with constituents, interest groups, committee and agency staffs in assigned issue areas;

oResponds to constituent requests for information;

oMaintains literature regarding the district and House offices for distribution to visitors;

oPurchases supplies for the office from the House Office Supply store as instructed by the Office Manager;

oSigns for deliveries and forwards all materials delivered to the office to appropriate staff members in a timely manner;

oEnsures that requests for assistance are directed to the appropriate staff member in a timely manner;

oDocuments visitor opinions on issues communicated via telephone, including full name, address, and all relevant information as appropriate;

oPerforms general typing and administrative assignments;

oSends, receives, and distributes materials via the facsimile machine;

oPerforms special projects assigned by the Congressman or Chief of Staff;

oMaintains a good working relationship with the Congressman, staff and constituents;

oAccepts performance based criticism and direction;

oPossesses a temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner;

oWorks cooperatively and courteously with others;

oMeets attendance requirements as established by the office;

oWorks well under pressure and handles stress;

oWorks a flexible schedule including long hours, nights, and weekends as needed according to the Congressional schedule;

oPerforms other duties as assigned.

EDUCATION/EXPERIENCE:

Completion of a four year college education is preferred for this position. A minimum of experience is required, but congressional internship experience is preferred.

oExcellent organizational and proofreading skills;
