BSC Administrator - Accounts Receivable

As a part of the Business Services team, my role is comprised of:

  • Carrying out all Accounts Receivable functions including invoice generation, receipting, payment allocation and resolving queries from both internal and external stakeholders in accordance with company policy and service level agreements.
  • Developing extensive knowledge regarding various accounting systems and business processes.
  • Ensuring and educating the business appropriate GL codes are being used when raising invoices
  • Monthly reconciliations of the debtor account to ensure accurate receipting is being performed
  • Continuously looking for ways to improve the processes involving the Accounts Receivable team

I am also part of the Bonds Treasury team, where my tasks include:

  • Processing Bond applications for the Downer business. Ensuring all relevant paperwork is correct for the CFO & CEO to sign off. 
  • Liaising with financial institutions to ensure Bonds are processed correctly and on a timely basis
  • Communicating with Finance Managers of different divisions to ensure Bonds are being discharged on a timely basis to avoid extra costs being incurred
  • Performing trend analysis of Bonding requirements based on historical data of different Downer divisions.
  • Forecasting for future Bonding facility requirements for the review of CFO & Group Financial Controller.
  • Monthly reconciliation of active Bonds to ensure accurate reports are being generated.
  • Providing training to non-financial stakeholders of the business on general and financial aspects of Bonds.

Achievements/Projects:

  • Handling claims from over 80 current projects ranging from $50k to $15m
  • Updating the claim template to better accommodate larger projects and reflect modern NZ standards

Responsibilities:

  • Processing claims received from contractors on Prendos claim template (excel based).
  • Going over the claim to identify any unusual amounts and handing over to the building surveyor.
  • Working with the building surveyor to issue any changes necessary to the claim.
  • Issuing out provisional schedules and payments certificates to contractor and client in a timely manner.
  • Liaising with contractors and resolving all issues regarding claims. 
  • Undertaking reconciliations of progress claims at every set time frame.
  • Producing cost reports for each individual project.
