EVENTS PLANNING: Seminar, workshop, exhibition & cocktail evenings

  • Booking rooms and conference facilities/securing and booking a suitable venue or location;
  • Researching markets to identify opportunities for events;
  • Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);
  • Coordinating venue management, caterers, stand designers, contractors and equipment hire;

  • Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
  • Overseeing the dismantling and removal of the event and clearing the venue efficiently;
  • Coordinate, design and issuing invites; compilation of RSVP list and follow ups;
  • Attending high net worth events to market Sovereign Trust and Sovereign Art Foundation (SAF).

  • Sourcing advertising opportunities and placing adverts in the press - local, regional, national and specialist publications;

  • Co-ordinate events with head of SAF based in Hong Kong;
  • Presenting SAF at the Cape Town Art Fair and the FNB Joburg Art Fair;
  • Co-ordinate our exhibition space with Fiera Milano at the Cape Town Art Fair 2014, 2015 & 2016;
  • Arrange advertisement in local newspapers for art fair;
  • Liaised with Hong Kong to get all SAF marketing material to SA;
  • Arrange for exhibition spaced to get vinyl printing so that children could draw on the walls;
  • Arrange invites to opening night and our VIP lounge area;
  • Entertained guests and children at the VIP lounge and exhibition space;
  • Organised for Lalela Project to be part of our space and for all donations to go to their programme;
  • Networked with guest to get possible donations;
  • Organised curator tours for our own VIP clients;
  • Build relationship with the Lalela Project to established future projects;
  • Visited Red Cross Children’s Hospital to look for possible donation opportunity;

Personal Assistant to MD 

  • Provide administrative and organisational support;
  • Prepare a variety of documents (including drafting loan and consultancy agreements), requisitions, purchase orders and other correspondence;
  • Initiate and respond to written and verbal correspondence;
  • Create and maintain a system for organising and storing both electronic and hard-copy information and records;
  • Drafting of quotes, invoices and orders;
  • Liaising directly with outside accountant to make payments;
  • Supervise and coordinate activities of staff;
  • Provide secretarial or executive services for professional staff;
  • Check name availability and reserve or register company name;
  • Assist with establishment of a bank account and manage the account;
  • Attending meetings, taking minutes and keeping notes;
  • Ordering and maintaining stationery, equipment and groceries for the office;
  • Planning and maintaining office systems - including data management and filing;
  • Liaising with colleagues and external contacts to arrange flights, accommodation and visas for staff and other clients;
  • Occasionally, travelling with the manager to provide general assistance during presentations;
  • Screening phone calls -enquiries and requests, and handling them when appropriate;
  • Organising and maintaining diaries and making appointments; dealing with incoming email and post;
  • Recording office expenditure and management’s credit cards;
  • Maintaining the condition of the office and arranging for necessary repairs;
  • Arrange for wine to be couriered from Portugal to South Africa and then distribute the wine as Christmas gifts to ±150 clients all over South Africa.
