Summary

Freelance Events Assistant

COW Events, London - Creative events agency

I was part of the creation of an experiential and immersive theatre installation for notonthehighstreet.com's 10th birthday anniversary in Old Spitalfields Market in Shoreditch.

Creative: I researched costume ideas for the performers, put together presentations via InDesign to send over to the client, came up with ideas for the characters and wrote the character briefs. 

Casting: I sourced the actors and performers, organised the auditions and was involved with final casting decisions.

Artist management: I looked after the 40+ performers on the event days to ensure everything went smoothly. I ensured their breaks were taken according to the rota I had created for them, made sure they were happy with what they were doing and was on hand for any queries.

Events & Marketing Assistant 

Guildhall, City of London - Prestigious grade 1 listed multi-function venue 

Event management: Assisting with the day to day running of the Guildhall diary, including venue enquiries, marketing and associated administrative tasks.

Managing and finalising all relevant details in relation to the organisation of events arranged at Guildhall. The events can range from state banquets to fashion designer catwalks.

Hospitality: A point of contact for enquiries relating to the letting of Guildhall, including advising clients about how the complex can be utilised to best fit their requirements, arranging and conducting site visits of the facilities with prospective clients and suppliers.

Following up and confirming provisional bookings or releasing them to maximise utilisation of Guildhall.

Finance & house-keeping: Raising invoices for confirmed bookings via the CBIS system and monitoring to ensure the deposit is made in line with City Corporation terms and conditions.

Responsible for day to day maintenance and storage of event files prior to event allocation, ensuring all paperwork including contracts, checklists, background information, risk assessments and payment are completed and when necessary signed prior to each event, identifying any issues and resolving in an appropriate way.

Client servicing: Conducting site visits with clients, officers from City departments and Members providing detailed advice and guidance about the services and facilities Guildhall can offer.

Producing signing-in sheets for functions and daily function sheets for departmental use.
Liaising with the client to ensure their needs and expectations are met.

Attending meetings with outside organisations to develop event arrangements.

I assisted and managed small to large scale events for my client BMW and MINI. I coordinated with a team for events such as Frieze Art Fair, Goodwood FOS, PGA Championship, QBEs, Henley Festival & 6 Nations and assisted the BMW and MINI Pop-up Shop programme. My duties include:

Responding to a brief: Tailoring a personalised consultation for each client, costing to a budget, creating proposals, logistical guidance and advice

Research: To identify opportunities for events, securing and booking suitable venues/accommodation, researching giveaway ideas

Client facing: Attending site visits and meetings with the events team at BMW to plan for major events like PGA

Coordination: Using IBIS to organise data, book kit and schedule operators. Chasing paperwork and regularly updating the client on progress

Logistics: Working as part of a small project team and working closely with our scheduling team and operators, assisting on site recces,  troubleshooting during event days

Finance: Managing a budget, raising purchase orders and post event reconciliation

Post event analysis: Gathering feedback post event and updating our social media networks with pictures and copy
