Summary

  • Logistics Coordinator: Manage logistics coordination for raw materials, internal transfers and customer order fulfillment.
    • Arrange shipments from Portland manufacturing facility as well as 3rd party logistics and 3rd party manufacturers (both domestic and international). 
    • Manage transport for internal inventory transfers while maintaining accurate internal database. 
    • Coordinate priority shipments and troubleshoot issues with carrier, customer  and freight broker. 
    • Establish estimated transit times to ensure accurate shipping schedule and lead times for raw materials, finished goods, and customer orders. 
  • Sales Coordinator: Manage all domestic and international wholesale distribution sales accounts (averaging $4M in revenue  per month).
    • Process sales orders to reflect accurate pricing, products, shipping instructions, lead time and special instructions.
    • Manage timely order fulfillment and billing/invoicing while maintaining data in internal database. 
    • Act as direct contact for all domestic and international distributors regarding order placement, shipping issues, and any and all product and pricing clarifications.
    • Trouble shoot issues and coordinate solutions with customers, production, shipping, 3rd party logistics, sales and brand management. 
  • Office Manager: Maintain all office facilities and supplies including break rooms, restrooms and employee events.
    • Manage ordering and receiving of all office supplies (both BOH and FOH). 
    • Ensure break areas are fully stocked daily and maintained for special events/visitors. 
    • Assist HR Manager in coordinating and executing employee events (meetings, appreciation events, job fairs).
    • Manage all recurring office services (Manufacturing supplies/equipment, cleaning services, waste management, HVAC maintenance, and water cooler services).
  • Project Management: Oversee project planning, create SOPs for project implementation while  training colleagues on proper procedure. 
    • Manage Netsuite implementation for Schmidt's encompassing  receiving, sales, shipping and internal transfers.
      • Manage custom order processing systems. 
      • Oversee custom document formatting - Invoice, Purchase Order, Credit Memo, Return Authorization. 
  • Inventory Control: Assist in creating re-order points and order planning for facility inventory valued at $2M. 
    • Manage current and advanced purchase orders for raw materials for manufacturing facility.
    • Manage order processing based on available finished goods inventory for two fulfillment facilities. 
    • Assist production manager with manufacturing schedule based on demand, off-site inventory, and fulfillment schedule.  
  • Bookkeeping: Oversaw Accounts Receivable; Currently manage billing/invoicing. 
    • Manage timely billing for orders fulfilled off-site as well as specialty billing for selected customer accounts. 
    • Manage timely billing in customer portals (SPS Commerce, Tradestone (Urban Outfitters and American Eagle), Meijer VendorNet, Zulily.
    • Lead collection efforts and recorded credit card, ACH, and wire payments. 
  • Customer Support: Hired to provide all customer, vendor and business support. 
    • Provide high-quality customer support including managing ongoing quality issues, shipping errors, returns and customer satisfaction. 
    • Increased small sample and promotional order efficiency by integrating the fulfillment  process into customer support and our Shopify store. 
    • Developed custom response templates still used today for common customer issues.
