Raleigh Swimming Association
Raleigh Swimming Association (RSA) is a year round nonprofit USA Swimming team. After spending two years as a parent liaison dealing with parent's issues and questions regarding their child's participation at RSA, arranging events and helping at competitive meets, I was asked to join the board of directors. My work as a board member at RSA, apart from general oversight and policy formulation with the other board members, is split into four areas.
Fundraising - As Chair of this committee I am responsible for all efforts to raise funds for RSA, liaison with local sponsors and event organization and budgeting. Preparation for the annual "Swim for Funds" includes registering the event with USA Swimming, organizing incentive prizes, getting sponsors, assisting our coaches in getting 200+ swimmers organized, tracking and collection of financial pledges and completing all paperwork for USA Swimming.
Meet Committee - The meet committee arranges all swim meets that RSA hosts as a team and, as each is USA sanctioned, the requirements are strict. As part of this committee I help in preparing announcements to be submitted to North Carolina Swimming for sanctioning, submitting the sanctions and ensuring that all meets adhere to all rules, whilst giving the athletes the best opportunity to compete.
Volunteers Coordination - I am in sole charge of all volunteer management at RSA with a team of three other committee members under my guidance; this includes cash management for the meets that generally totals several thousand dollars per meet. The team runs approximately ten meets per year with an average of 350 volunteers needed per meet. Most of the volunteer positions are essential and must be manned on the day before the meet can even begin. The tasks involved in this effort are creating online sign-ups for these meets, checking all volunteers in, dealing with last minute changes, keeping records of volunteer hours for later database entry and dealing with complaints. I also ensure that the yearlong jobs requiring volunteers are filled such as parent liaisons, hospitality team etc. The tasks described were initially completed with all the records entered manually in MS Excel. The second year we went to an industry standard web service call Team Unify that required training and I now use to handle all volunteer data.
Member Relations - As part of the Member Relations committee I am responsible for ensuring information from the RSA board is communicated to the team, creating documents to explain the confusing world of swimming for new members and maintain a Q&A document to explain various aspects of being a member of RSA. I also deal with past due accounts. I also organize "RSA Day" each year, including catering the event, getting handbooks, t-shirts and caps out to the athletes and helping the Secretary in her duties.I was part of the management team for the 2012 Zones meet which was for the south eastern section of USA and had 15 different regional teams attending. I arranged all volunteers for the week long meet and also stepped in at the last minute to coordinate all the hospitality for the meet, getting as much food as possible donated or heavily discounted thus making sure all officials, coaches and volunteers were fed.
