Reception Duties:

  • Customer service patient and staff enquiries.
  • Operating Zeacom Console answering all incoming calls.
  • Vehicle Custodian-Responsible for all Hospital fleet car maintenance Making sure Warrants and Registrations are always current. Booking into the appropriate places for Mechanical needs. Keeping recorded data of the whereabouts of all vehicles. Ensuring there are always cars available for staff using the Smartrack system. Passing on any accounts to appropriate offenders for parking or traffic violations.
  • Taking all bus bookings for Patients/Visitors/Support People using the Hospital provided transport to get to Hamilton for Outpatient Clinic appointments or Support services. We also allowed people from our town to travel on the bus if they have a family member who is a current patient in the Waikato Hospital.
  • Medical records filing. To file, scan  all patient records in a timely and professional manner not to breach any privacy or protocol issues. 
  • Take conference room bookings for meetings, staff training, professional development or any other need that may arise.
  • Receiving and sorting all inward mail and courier deliveries.
  • Ensuring all outgoing mail is packaged appropriately
  • Clearing and filing all faxes.
  • Maintaining the tidiness of the reception area at all times.

Ward & Emergency Department receptionist:

  • Answer all incoming calls.

  • Emailing, calling and texting patients for future appointment reminders with full details.

    To book patients into the Nurse Lead Clinic for Hearing tests, Ear Suctions, and Telemetry.
    Making sure patient has referrals and all patient information is updated and corrected.
